Part-Time Receptionist/Administrator

Te Whai Community Trust is seeking a professional and customer service-oriented individual to join our team as a part-time Receptionist and Administrator. You will be the first point of contact for Te Whai and will play a crucial role in providing excellent customer service, managing administrative tasks, and ensuring smooth day-to-day operations. This position may grow to full time as we increase our services.

Responsibilities:

  • Greet and welcome visitors in a friendly and professional manner.

  • Answer and direct incoming phone calls to appropriate personnel.

  • Manage incoming inquiries including phone, email, in person, and Facebook/Instagram.

  • Provide general administrative support including data entry, filing, and maintaining office supplies.

  • Schedule appointments, clear emails, manage calendars, subscriptions and directory.

  • Assist with organizing and coordinating meetings, minutes and events.

  • Provide administrative support to various departments as needed.

  • Upkeep of volunteer and staff files.

  • Ensure the reception area is tidy and presentable at all times.

  • Adhere to company policies and procedures, including maintaining confidentiality of sensitive information.

Qualifications:

  • Previous experience in a receptionist, administrative, or customer service role preferred.

  • Excellent communication skills, both verbal and written.

  • Professional and friendly demeanour with strong customer service orientation.

  • Ability to multitask and prioritize tasks in a fast-paced environment.

  • Proficient in using Google Suite (Drive, Doc, Sheets, Calendar )

  • Ability to quickly learn digital marketing and management tools (Notion, Power Diary, Canva, email marketing)

  • Strong organizational and time management skills.

  • Ability to work independently and collaboratively as part of a team.

  • Attention to detail and accuracy.

Schedule:

  • Part-time position, approximately 12 hours per week to start with potential to grow to full time in the near future.

  • Shifts during regular business hours, some allocated for special events.
